Below is the email that I showed last meeting for Introduce a Girl to Engineering Day. Please take the time to sign-up and email me the hours you are available to volunteer. Thanks!

YOUR NEXT STEPS:
1. Get your volunteers signed up online! All volunteers can sign up online at https://girlday2014volunteers.eventbrite.com. Be sure they select “yes†for the question “Are you volunteering with a student organization, community organization or other group?†and then select “Acoustical Society of America (ASA)†from the dropdown box. We ask for volunteers to register online so we may provide all volunteers with safety and logistics information for the day and so we may have the demographics information to report to our funders.
2. Please double check that the activity, age group and location for your Girl Day involvement are accurate as listed above. Let me know if you have any changes or challenges. We are finalizing all by Monday for our program and layout maps (which we will share by the end of next week).
AGENDA:
Girl Day is held throughout the Cockrell School of Engineering complex on the UT campus. The event is from 2 – 5 p.m. with volunteer check-in and training beginning at noon. Clean-up is typically completed by 5:30 p.m.
Girl Day Agenda For Acoustical Society of America (ASA) Volunteers:
o 12:00 p.m. – Lead Volunteer Check-in at ECJ 2nd Floor Lobby (at least 1 person from your organization needs to check in by this time and attend the training)
o 12:10 – 12:30 p.m. – Volunteer Safety, Logistics and Activity Training, ECJ 1.202, RLM 4.102, Various Classrooms (more details coming later - (at least 1 person from your organization needs to attend the training)
o 12:30 – 12:45 p.m. – All Acoustical Society of America (ASA) Volunteers Check-in at ECJ 2nd Floor Lobby
o 12:30 p.m. – 1:30 p.m. – All Activity Room, Demonstration and Display Volunteers head to rooms or other assigned area to get set-up; Pizza in rooms or at plaza area tables
o 1:30 p.m. – All Rooms and Activities Open, Check-in Opens for Participants (NOTE: If your booth or activity on the plaza is ready earlier, feel free to let participants explore and play before 1:30 p.m.)
o 4:30 p.m. – Science in the Movies show begins outside of CPE
o 5:00 p.m. – Activity Rooms/Demos/Booths close; clean-up begins
o 5:30 p.m. – Science in the Movies show ends
o 6:00 p.m. – All clear!
At least one of your volunteers from Acoustical Society of America (ASA) must arrive at noon for a quick safety training. Training will include information about the logistics of Girl Day, safety protocol, schedule, etc. All remaining set-up can then occur from 12:30 – 1:30 p.m. prior to the start of Girl Day and the rest of your volunteers can check in between 12:30 and 12:45 p.m. While we advertise Girl Day from 2 – 5 p.m., people arrive early and we open all rooms and activities at 1:30. This year we again have the super cool special effects show of Science in the Movies (stunts and the engineering/physics/chemistry/math behind them).
